Im Bereich Datenschutz erstellen Sie Auskünfte über die gespeicherten Daten einer Person, prüfen und führen Löschanfragen aus und sehen, wer wann einen Datensatz geändert hat.

Funktionen

  • Auskunft an Betroffene – Einen Auskunftsauftrag anlegen, der alle gespeicherten Daten einer Person in einer Datei sammelt.
  • Kontakte löschen – Eine Löschanfrage prüfen und nach Bestätigung ausführen.
  • Aufbewahrungsrichtlinien – Festlegen, wie lange eine Datenart aufbewahrt oder gesperrt wird.

Was Sie hier tun

Im Bereich Datenschutz erledigen Sie die Anfragen von Personen, deren Daten Ihr Unternehmen speichert. Sie erstellen eine Auskunft über alle gespeicherten Daten, und Sie löschen einen Kontakt, ohne dabei Belege zu verlieren, die Sie aufbewahren müssen. Außerdem sehen Sie, wer wann einen Datensatz geändert hat.

Sie finden den Bereich in der PWA unter pwa.ayoune.app im Menü unter „Datenschutz". Dort stehen „Kontakte löschen", „Auskunftsaufträge" und „Aufbewahrungsrichtlinien".

Schritt für Schritt

Eine Auskunft erstellen

  1. Öffnen Sie „Auskunftsaufträge".
  2. Tippen Sie auf „Neuer Auskunftsauftrag" und wählen Sie die Person und das Dateiformat.
  3. Tippen Sie auf „Speichern". Der Auftrag steht zuerst auf wartend, dann auf laufend.
  4. Ist der Auftrag fertig, öffnen Sie im Auftrag den Link zur Datei und laden Sie sie herunter.
  5. Senden Sie die Datei selbst an die Person. Die Plattform verschickt sie nicht.

Einen Auftrag, der nicht mehr gebraucht wird, beenden Sie mit „Abbrechen". Der Filter „Fehlgeschlagen" zeigt Aufträge, die nicht fertig wurden.

Einen Kontakt löschen

  1. Öffnen Sie „Kontakte löschen" und wählen Sie den Kontakt.
  2. Tippen Sie auf „Löschanfrage prüfen". Der Löschplan zeigt je Datenart, wie viele Einträge betroffen sind und was mit ihnen geschieht: löschen, pseudonymisieren oder wegen einer Sperre behalten.
  3. Lesen Sie den Plan in Ruhe. Bis hierhin ist nichts verändert.
  4. Eine zweite berechtigte Person wählt „Löschung ausführen". Erst dann ändert die Plattform Daten.

Hängen an dem Kontakt Belege, die Sie aufbewahren müssen, etwa Rechnungen, wird der Kontakt pseudonymisiert statt gelöscht. Die Belege bleiben gültig.

Eine Aufbewahrungsrichtlinie anlegen

  1. Öffnen Sie „Aufbewahrungsrichtlinien" und tippen Sie auf „Neue Richtlinie".
  2. Geben Sie eine Bezeichnung ein, wählen Sie die Datenart und die Art der Richtlinie: Löschfrist oder Sperre.
  3. Tragen Sie die Frist in Tagen ein und tippen Sie auf „Speichern".

Die Filter „DSGVO-Löschung" und „Legal Hold" trennen Löschfristen und Sperren.

Nachsehen, wer etwas geändert hat

Aus einem Datensatz heraus sehen Sie seine früheren Stände mit Bearbeiter und Zeitpunkt. Der Vergleich zweier Stände markiert die geänderten Felder. Einen früheren Stand zurückholen dürfen nur Personen mit der passenden Freigabe, und auch sie müssen es ausdrücklich bestätigen.

Häufige Fragen

Mein Auskunftsauftrag steht lange auf wartend. Die Abarbeitung im Hintergrund ist noch nicht angelaufen. Warten Sie etwas. Bleibt der Auftrag stehen, brechen Sie ihn ab und legen Sie ihn neu an, oder informieren Sie Ihren Administrator.

Nach der Löschung finde ich noch Daten der Person. Warum? Die Löschung erfasst den Kontakt und die Einträge, die auf ihn verweisen. Kopien in Dateien, E-Mails oder fremden Systemen bleiben bestehen und müssen dort gelöscht werden.

Ich kann die Löschung nicht ausführen. Das Ausführen braucht eine eigene Freigabe, die bewusst bei einer zweiten Person liegt. So entscheidet niemand allein über eine Löschung.

Meine Richtlinie wird nicht gespeichert. Für dieselbe Datenart gibt es schon eine widersprechende Richtlinie, etwa eine Sperre neben einer Löschfrist. Prüfen Sie die bestehenden Einträge.

Was automatisch passiert

Jeder Bereich hält Änderungen an seinen Datensätzen von selbst fest. Auskunftsaufträge arbeitet die Plattform im Hintergrund ab und sammelt dabei die Daten der Person aus allen Bereichen. Löschen und Wiederherstellen geschehen nie automatisch, sondern nur nach Ihrer Bestätigung.
