Das CRM ist die Kundendatenbank Ihres Unternehmens: Kontakte und Personen, Aktivitäten und Termine, Dokumente, Postausgang, Listen, Segmente und Selektionen; die Kundenansicht bündelt Angebote, Rechnungen, Verträge und Zahlungen aus den Nachbarbereichen.

Funktionen

  • Kontakte und Personen – Firmen und Personen mit Dublettenprüfung, Geokodierung, Kennzahlen, Bewertung, Portalzugang und über 60 Aktionen.
  • Kundenansicht – Der Kontakt trägt Reiter für Angebote, Rechnungen, Verträge, Zahlungen, Lieferungen, Mahnungen und Produktionsaufträge; die Daten liegen in den Nachbarbereichen.
  • Aktivitäten, Aufgaben und Termine – Aktivitäten am Kontakt, Aufgaben, Kalendereinträge mit Einladung, Belegungsprüfung und Besprechungsräumen, der Aktivitäten-Feed.
  • Dokumente und Postausgang – Dokumente am Kontakt mit Freigabe, Unterschrift und Archiv, Briefe aus Vorlagen, Postausgang und Postfächer.
  • Listen, Segmente und Selektionen – Statische Listen, regelbasierte Segmente und Selektionen mit Ergebnis-Töpfen für Marketing und Vertrieb.
  • Eingänge – Formularübermittlungen von Websites, Datenerhebungen, Checklisten, Leads und Benachrichtigungen am Kontakt.

Zweck

Das CRM ist die Kundendatenbank Ihres Unternehmens. Hier liegen Kontakte und Personen, Aktivitäten, Termine, Dokumente und Postfächer; Vertrieb, Marketing und Shop lesen von hier. Die Kundenansicht bündelt die Nachbarbereiche: der Kontakt trägt Reiter für Angebote, Rechnungen, Verträge, Zahlungen, Lieferungen und Mahnungen, ohne dass die Daten das CRM verlassen.

Einrichten

Voraussetzung ist der Bereich „CRM" in einem gebuchten Paket. Sie finden ihn im Menü unter „CRM"; der persönliche Bereich „Mein Bereich" mit Journalen gehört dazu.

  1. Kontakte anlegen oder importieren. Unter „Kontakte" legen Sie Firmen an, unter „Personen" Ansprechpartner; Pflicht sind bei Personen Vor- und Nachname, bei Firmen der Name. Vor dem Speichern prüft die Plattform Dubletten nach Name und Adresse. Kontakte sind importierbar; verwenden Sie die Feldnamen, die das Formular zeigt.
  2. Geokodierung. Nach dem Anlegen wird die Adresse in Koordinaten aufgelöst, sofern der Betreiber einen Schlüssel für den Kartendienst gesetzt hat; „Karte" und „Umkreissuche" bauen darauf auf.
  3. Listen und Segmente. Unter „Listen" führen Sie feste Zusammenstellungen, unter „Segmente" Regeln, denen Kontakte automatisch folgen; „Selektionen" erzeugen Ergebnis-Töpfe für Marketing und Vertrieb.
  4. Kalender und Räume. Termine brauchen einen Kalender aus dem Konfigurations-Bereich; Besprechungsräume werden bei einer Zusage belegt, die Belegungsprüfung gilt je Kalender.
  5. Dokumente und Vorlagen. Briefe aus Vorlagen setzen Dokument-Vorlagen aus dem Konfigurations-Bereich voraus; das Ergebnis liegt als Dokument am Kontakt.
  6. Portalzugang. Die Aktion zum Senden einer Portal-Einladung erzeugt Zugangsdaten und verschickt die Einladung; Portal-Rollen werden je Kontakt gesetzt, eine Sperre nimmt den Zugang zurück, ohne den Kontakt zu löschen.
  7. Formulare und Eingänge. Formulare Ihrer Websites landen unter „Formularübermittlungen"; Leads laufen von dort in die Qualifizierung.

Rollen und Rechte

Die Rechte des Bereichs beginnen mit crm.. Das zentrale Recht ist crm.consumers für Kontakte und Personen; Aktionen am Kontakt tragen je ein Aktionsrecht unter crm.consumers.actions., etwa für Archivieren, Zusammenführen, Portal-Einladung, Passwort zurücksetzen, Kontakt in Kunde umwandeln oder Kennzahlen neu berechnen. So kann eine Rolle Kontakte pflegen, aber keine Portalzugänge vergeben.

Weitere Pflege-Rechte: crm.activities, crm.calendarentries, crm.documents, crm.consumerlists, crm.segments, crm.selections, crm.checklists, crm.leads, crm.messages, crm.drafts, crm.maillabels, crm.enrichments, crm.datacollectionentries, crm.notifications. Leserechte: crm.imapmails (Postfächer), crm.outgoingmails (Postausgang), crm.formsubmissions, crm.consumernotifications, crm.consumerdatabases. Die Bewertung von Chancen läuft über crm.opportunities.score.

Die Reiter der Kundenansicht zeigen Belege aus Vertrieb und Zahlung nur, wenn die Rolle auch dort das Leserecht trägt; sonst bleibt der Reiter leer.

Die Rolle „Administrator" erhält alle Rechte des Bereichs beim ersten Start automatisch; weitere Rollen pflegen Sie in der Rollenverwaltung.

Laufender Betrieb

Der Bereich hat keine Zeitgeber. Das Rendern von Briefen und der Mailversand laufen als Aufträge im Hintergrund; das Abholen von Postfächern übernimmt ein eigener Hintergrundprozess.

Kennzahlen und Bewertung. Kennzahlen je Kontakt entstehen aus Aktivitäten und Belegen und werden nicht bei jedem Ereignis neu gerechnet; nach einer Massen-Änderung stoßen Sie „Kennzahlen neu berechnen" an. Ereignisse am Kontakt erzeugen Bewertungs-Einträge, deren Summe am Kontakt steht.

Termine. Ein Kalendereintrag mit Gästen versendet Einladungen; Antworten der Gäste ändern den Zustand des Eintrags. Erinnerungen werden als Aktion ausgelöst.

Briefe. Ein Brief aus Vorlage wird im Hintergrund gerendert und am Kontakt abgelegt; ein Fehler steht am gerenderten Dokument.

Postfächer. Die Postfach-Ansicht zeigt Nachrichten je Ordner; Archivieren und Markieren ändern den Zustand.

Fehler. Laufzeitfehler des Bereichs erscheinen als Aufgabe vom Typ „Bug" im Projektmanagement Ihres Mandanten.

Störungen

Ein Kontakt lässt sich nicht speichern, weil eine Dublette gemeldet wird. Name und Adresse stimmen mit einem bestehenden Kontakt überein. Öffnen Sie den Bestand und führen Sie beide über die Aktion zusammen, statt einen zweiten anzulegen. Abweichende Schreibweisen erkennt die Prüfung nicht.

Karte und Umkreissuche zeigen Kontakte nicht. Die Koordinaten fehlen, weil der Kartendienst nicht konfiguriert ist oder das Kontingent erschöpft war. Wenden Sie sich an den Betreiber; ein Neuaufbau über viele Kontakte dauert und ist kontingentiert.

Ein Reiter der Kundenansicht ist leer. Der Rolle fehlt das Leserecht im Nachbarbereich (Vertrieb, Zahlung, Produktion). Ergänzen Sie es dort.

Ein Postfach zeigt keine Nachrichten. Der Hintergrundprozess zum Abholen läuft nicht oder das Konto ist nicht eingerichtet. Prüfen Sie das E-Mail-Konto im Konfigurations-Bereich; der Ordner bleibt sonst leer, ohne Fehler.

Ein Brief aus Vorlage erscheint nicht am Kontakt. Das Rendern ist fehlgeschlagen; der Fehler steht am gerenderten Dokument, nicht in der Kundenansicht.

Kennzahlen eines Kontakts sind veraltet. Sie werden nicht laufend berechnet. Lösen Sie die Aktion zum Neuberechnen aus.
