Im Personalwesen führen Sie Personalakten, Bewerbungen, Urlaube, Schichten und Abrechnungen; als Mitarbeiter beantragen Sie im Portal Urlaub, sehen Ihren Schichtplan und Ihre Abrechnungen und erledigen Ihre Einarbeitung.

Funktionen

  • Mitarbeiter und Organigramm – Personalakten ansehen und anlegen, Stellen und Organigramm einsehen.
  • Bewerbungen – Stellenangebote veröffentlichen, Bewerbungen sichten und durch den Bewerbungsprozess führen.
  • Urlaube und Schichten – Urlaube beantragen und freigeben, Schichten planen, veröffentlichen und tauschen.
  • Lohnläufe und Abrechnungen – Lohnläufe ansehen und Abrechnungen drucken.
  • Einarbeitung – Kurse und Pflichtaufgaben bereitstellen und erledigen.

Was Sie hier tun

Im Personalwesen begleiten Sie die Mitarbeiter Ihres Unternehmens von der Bewerbung bis zur Abrechnung. Die Personalabteilung führt Akten, Bewerbungen, Urlaube, Schichten und Lohnläufe. Mitarbeiter sehen im Portal ihre eigenen Daten, beantragen Urlaub und erledigen ihre Einarbeitung.

Sie finden den Bereich in der PWA unter pwa.ayoune.app im Menü unter „Personalwesen". Dort stehen unter anderem „Mitarbeiter", „Organigramm", „Stellen", „Stellenangebote", „Bewerbungen", „Urlaube", „Schichtplanung", „Zeiterfassung auswerten", „Lohnläufe", „Abrechnungen", „Kurse" und „Pflichtaufgaben".

Schritt für Schritt

Einen Mitarbeiter anlegen

  1. Öffnen Sie „Mitarbeiter" und tippen Sie auf „Neuer Mitarbeiter", oder starten Sie den Assistenten „Personalakte anlegen".
  2. Füllen Sie die Angaben aus. Der Assistent richtet auf Wunsch gleich den Portalzugang ein.
  3. Tippen Sie auf „Speichern".

In der Akte finden Sie Dokumente, Abwesenheiten und E-Mails des Mitarbeiters. Manche Felder, etwa Bankdaten, sind geschwärzt, wenn Ihre Rolle sie nicht sehen darf.

Bewerbungen bearbeiten

  1. Veröffentlichen Sie unter „Stellenangebote" eine Stelle mit „Neues Stellenangebot".
  2. Neue Bewerbungen erscheinen unter „Bewerbungen". Die Übersicht je Zustand zeigt, wie weit jede Bewerbung ist.
  3. Öffnen Sie eine Bewerbung und wählen Sie den nächsten Schritt: Vorprüfung, Einladung zum Gespräch, Angebot, Einstellung oder Absage.
  4. Bei der Einstellung wird aus dem Bewerber ein Mitarbeiter.

Die Filter „Offen", „Eingestellt", „Abgelehnt" und „Talent-Pool" helfen beim Sortieren. Nach Ablauf der Löschfrist wird eine Bewerbung automatisch anonymisiert.

Urlaub beantragen und freigeben

  1. Als Mitarbeiter öffnen Sie im Portal Ihre Abwesenheiten und stellen einen neuen Antrag. In der PWA geht das unter „Urlaube" mit „Neuer Urlaubsantrag".
  2. Der Antrag geht zur Freigabe. Die Entscheidung erscheint danach bei Ihnen.
  3. Einen Antrag, den Sie nicht mehr brauchen, stornieren Sie selbst.

Die Filter „Genehmigt", „Abgelehnt" und „Heute" zeigen den Stand.

Schichten planen

  1. Öffnen Sie „Schichtplanung" und legen Sie mit „Neue Schicht" die Schichten an.
  2. Weisen Sie Mitarbeiter zu.
  3. Veröffentlichen Sie den Plan. Erst dann sehen ihn die Mitarbeiter im Portal.

Eine Schicht lässt sich später tauschen oder neu zuweisen.

Abrechnungen

Unter „Lohnläufe" sehen Sie die Berechnung je Zeitraum. Unter „Abrechnungen" finden Sie die Abrechnung jedes Mitarbeiters und drucken sie. Mitarbeiter sehen ihre eigenen Abrechnungen im Portal.

Einarbeitung

Unter „Kurse" und „Pflichtaufgaben" legen Sie mit „Neuer Kurs" und „Neue Pflichtaufgabe" an, was neue Mitarbeiter lernen und bestätigen müssen. Mitarbeiter bearbeiten beides im Portal und bestätigen jede Pflichtaufgabe.

Häufige Fragen

Mein Urlaubsantrag ist noch offen. Warum? Die Freigabe steht noch aus. Fragen Sie bei der Personalabteilung nach.

Ich sehe in der Personalakte einige Felder nicht. Ihre Rolle darf diese Felder nicht sehen. Das ist gewollt, etwa bei Bankdaten.

Der Lohnlauf lässt sich nicht exportieren. In einer Akte fehlen Pflichtangaben. Die Meldung nennt sie. Ergänzen Sie die Angaben und versuchen Sie es erneut.

Als Mitarbeiter sehe ich meinen Schichtplan nicht. Der Plan ist noch nicht veröffentlicht. Warten Sie auf die Veröffentlichung.

Ich komme nicht ins Portal. Ihr Portalzugang ist noch nicht eingerichtet. Wenden Sie sich an die Personalabteilung.

Was automatisch passiert

Ein Urlaubsantrag geht als Freigabe-Anfrage an die zuständige Person. Bewerbungen werden nach Ablauf der Löschfrist anonymisiert. Dokumente, die noch nicht unterschrieben sind, lösen nach einer Frist eine Erinnerung aus. Bescheinigungen zu Abwesenheiten entstehen im Hintergrund.
